Redesigning an Outdated SharePoint Intranet

InfoWorks’ internal intranet, netWorks, served as the central destination for employees to access shared tools, documentation, and institutional knowledge. Over time, netWorks had grown organically, making it harder for employees to quickly locate files, understand where information lived, or identify the most current resources.

The intranet was originally built on Microsoft SharePoint with Valo Intranet layered on top to enhance functionality and presentation. Reliance on a third-party layer that had reached end of life introduced maintenance risk and limited flexibility as SharePoint continued to evolve.

InfoWorks identified an opportunity to modernize the intranet experience, simplifying the platform, improving usability, and ensuring long-term alignment with Microsoft SharePoint’s evolving capabilities.

User Adoption

The challenge extended beyond design and technology. Success depended on helping employees understand, adopt, and take ownership of a new internal experience without disrupting day-to-day work.

A cross-functional team of designers, strategists, operations leaders, and change management professionals partnered to reimagine the intranet as a modern, sustainable internal platform.

Stakeholder involvement began early. Employees from across the organization participated in interviews and hands-on reviews of early intranet concepts, providing direct feedback on navigation, content structure, and usability. This input helped shape the final experience and ensured the redesign reflected how teams actually work.

To support adoption, InfoWorks’ Change Management Workgroup led a series of engagement tactics designed to build familiarity and excitement. During a company-wide Link & Learn session, employees were introduced to the new intranet through a live, interactive walkthrough. As part of that session, the final name, InfoHub, was selected via a live company poll. This approach intentionally delayed naming until the end, reinforcing the idea that the intranet was not simply “launched,” but co-created.

The result was a redesigned intranet built entirely with native SharePoint tools, supported by strong stakeholder engagement and intentional change management.

New additions are evaluated carefully to ensure the platform remains organized, intuitive, and aligned with how employees search for and use information, thereby preventing the clutter that previously reduced usability.
