The client is a large nonprofit healthcare organization serving patients across multiple markets nationwide.

Disjointed Workflows Reporting Caused Inefficiencies

The primary problem they were facing was regarding the organization of work and the process of project intake and tracking. Prior to our engagement, each business unit across the department had their own individual project intake and tracking systems, none of which were integrated with each other.

This resulted in work across teams being disjointed and hampered communication and prioritization, especially when it came to work being handed off between different business units. Additionally, there was very little visibility into what progress was being made on various workstreams and who owned the work at any given point in time.

Overall, the lack of a universal project intake and tracking system slowed down the efficiency of the department’s work and left leadership with little awareness of how work was progressing, making it difficult to prioritize ongoing work and plan future workstreams.

At the same time, the client faced challenges with financial and operational reporting. Multiple business units maintained their own spreadsheets, each using different formats, data structures, and reporting methods. Without a centralized source of truth, leadership lacked timely and reliable information to assess business unit performance, evaluate budget allocation, and guide both short-term and long-term financial decisions.

Our client recognized the need for a unified solution that would improve cross-functional collaboration, provide leaders with actionable insights through centralized reporting, and streamline work management.

InfoWorks Improves Processes and Builds Data Dashboards

InfoWorks partnered closely with stakeholders across the client’s marketing organization to understand existing workflows, reporting needs, and operational challenges. This collaborative approach enabled the team to design solutions tailored to the client’s environment while supporting adoption across multiple business units.

Our team utilized Asana to build a platform for teams and leaders. It provided a shared view of campaign intake, project progress, ownership, and priorities across business units. We created standardized project briefs and workflows that improved consistency and created clearer handoffs between teams.

Setting up automated notifications and workflow routing reduced manual coordination efforts while helping work move more efficiently through the organization.

By consolidating multiple campaign intake and tracking processes into a single platform, the client gained greater transparency into work in progress and team capacity. Leaders were better equipped to prioritize initiatives, allocate resources, and identify potential bottlenecks before they affected delivery. Teams also benefited from a clearer understanding of responsibilities and project status, improving communication and collaboration across the department.

We also built a Tableau reporting solution that delivered similar benefits for budget management and operational reporting. Data from multiple sources was consolidated into a centralized reporting platform that provided leadership with visibility into overall budget performance, spending by market, and investment by category.

Rather than spending time reconciling spreadsheets and validating data, leaders can now focus on evaluating trends, monitoring spend pacing, and making informed decisions throughout the fiscal year.

Improved Efficiency, Actionable Reporting, and Better Decision-Making Capabilities

Together, the Asana and Tableau solutions provided a more complete view of both operational and financial performance. Leadership gained greater confidence in the data used to guide decisions, while teams benefited from increased transparency and alignment. The engagement not only improved day-to-day execution and reporting, but also established scalable processes and tools capable of supporting future growth and evolving organizational priorities.
